Request for customs and export control data

Due to increasing global challenges for global trade and because of the strategic integration of other companies into Schaeffler, adjustments are being made to the sourcing and goods delivery process.

Sourcing and goods receipt process

End2end supply chain consideration and collection of foreign trade data

Due to globally integrated supply chains, important customs and export control data, which we summarize as foreign trade data, must be collected and validated. In this way, we can ensure regulatory and business compliance, realize business advantages and avoid additional costs.

The new foreign trade data primarily include Country of Origin and Export Control Classification. Please find further information in the linked fact sheets:

We collect data in two places in the sourcing process for production material to ensure the correctness of this data:

  1. in the sourcing templates in SupplyOn
  2. in the Advanced Shipping Notification when sending the goods.

Note:
Country of Origin is an already existing field, which will become mandatory. For Export Control Classification, three new fields will be created to cover regulations from the European Union, the United States, and China. Information about Export Control Classification will be optional. The former known information can be sent, if data are not yet available.

Requirements

Sourcing process (SYO Sourcing Templates)

Adjustments will be made to the sourcing forms for production materials in SupplyOn.

Due to legal requirements and ongoing integrations (e.g. Vitesco), further fields were be added to the sourcing forms.

With regard to foreign trade data, these fields will include Country of Origin and Export Control Classification.

Goods receipt process

To ensure that the data is accurate and up to date, the information on Country of Origin and Export Control Classification need to be submitted also in the Advance Shipping Notification (ASN).

Please note that introducing these fields will change the ASN interfaces in webEDI and affect the EDI connection.

If you are a supplier using webEDI for sending ASN

Note, that the ASN profiles will be switched and due to this, the templates will change. Starting June 2, the profiles will be changed. Please make sure in advance that the data is available and the ASN can be sent together with the goods. Please find further information in the Supply Chain Collaboration Training Guide on SupplyOn.

If you are a supplier using EDI for sending ASN

For you as EDI connected suppliers this means that you are requested to adjust your company's EDI connection. Please find further information on SupplyOn and check out the EDI Guideline from SupplyOn.

Please engage with your internal IT teams to adjust the EDI connection following the guideline provided by SupplyOn. Please also book your testing time with SupplyOn to ensure valid connection.

To ensure smooth transition of the ASN profiles, please engage with your internal IT department to adjust the EDI connection following the guideline provided by SupplyOn. Please also book your testing time with SupplyOn to ensure valid connection.

Please be aware the changes are planned to go live in August 2025. From this time onwards, the ASN profiles of the suppliers can be switched over.
